Privacy Policy
1. Who we are and what this policy covers
This Privacy Policy explains how [SealRoom LLC] ("SealRoom", "we", "us") collects, uses and protects personal information. We do not sell your personal information.
It applies when you:
- visit our website at sealroom.io
- contact us by email (hello@sealroom.io) or through a form on our website
- interact with our pages on LinkedIn, Facebook and other social media, including comments and messages
- talk to us as a prospective or existing client
If you use a SealRoom product or service under a separate agreement, that agreement also governs how we handle data you store in it.
Contact: [SealRoom LLC], [registered address], hello@sealroom.io
2. Information we collect
We collect only what we need to respond to you and run our business.
Information you give us
- Name, email address, phone number, company name and job title
- The content of your emails, form submissions, comments and messages
- Information you share when discussing or buying our services, such as billing contact details
Information collected automatically on our website
- IP address, browser type, device type and operating system
- Pages visited, time on page and the site that referred you
- Cookies and similar technologies (see section 6)
Information from social media platforms
When you comment on, react to or message our pages on LinkedIn, Facebook or other platforms, we receive what the platform makes available to page owners. This usually includes your public profile name, profile identifier, profile picture, headline, and the content and time of your comment or message. Your privacy settings on that platform control what it shares with us.
3. How we use your information
We use personal information to:
- reply to your questions, comments and messages
- provide, quote for and deliver our services, and manage our client relationships
- send you information you asked for, and service-related notices
- run, secure and improve our website and social media pages
- comply with legal obligations and protect our rights
AI-assisted replies. We use automated tools, including AI software, to help read and draft replies to comments and messages on our social media pages, so that we can respond around the clock. These tools see only the comment or message, the public information the platform provides with it, and our own business information. They do not make decisions that have legal or similarly significant effects on you. Sales enquiries, complaints and anything sensitive are passed to a member of our team. You can ask for a human reply at any time by saying so in your message.
We send marketing emails only if you have asked for them or where the law allows it, and every marketing email includes a way to unsubscribe.
If you are in the EU or UK, our legal bases are: performing a contract or taking steps at your request before one; our legitimate interests in running and promoting our business and answering enquiries; your consent, where we ask for it; and compliance with legal obligations.
4. How we share information
We do not sell or rent your personal information, and we do not share it for cross-context behavioral advertising.
We share it only with:
- Service providers who work for us under contract and only on our instructions: website and email hosting (Hostinger), AI and automation providers that help us draft replies, customer-relationship and productivity tools, and payment processors
- Social media platforms, when we reply to you on their service. Their own privacy policies apply to what you post there.
- Professional advisers, such as lawyers and accountants, where needed
- Authorities or other parties, when the law requires it or to protect our rights, our clients or others
- A buyer or successor, if our business is reorganized, merged or sold
We require service providers to keep your information confidential and secure.
5. LinkedIn data
We connect to LinkedIn through LinkedIn's official APIs, only to manage the SealRoom company page: to read comments and reactions on our own posts and to reply to them as SealRoom.
When we handle data from LinkedIn:
- we use it only to respond to you and to manage our page
- we do not store your LinkedIn profile information beyond the identifier LinkedIn assigns to you and the comment or message we are replying to
- we do not sell it, use it to build profiles of you, or use it for advertising targeting
- we delete it when it is no longer needed to reply, when you delete your comment, or when you ask us to
- we follow LinkedIn's API Terms of Use and Marketing API Terms
To control what LinkedIn shares, use your LinkedIn privacy settings or see LinkedIn's Privacy Policy.
6. Cookies, retention and security
Cookies. Our website uses cookies that are needed for it to work. Where we use analytics or similar cookies, we will ask for your consent first where the law requires it. You can also block or delete cookies in your browser settings.
How long we keep information. We keep personal information only as long as we need it for the purposes in this policy:
| Information | How long we keep it |
|---|---|
| Enquiries and messages that do not lead to work | Up to 24 months after our last contact |
| Client and contract records | For the length of the relationship, plus as long as tax and accounting law requires |
| Social media comments and messages | As long as needed to respond, or until you delete them or ask us to |
| Website analytics | Up to 26 months |
Security. We protect personal information with technical and organizational measures, including encryption in transit, access controls and two-factor authentication on our accounts. No method of transmission or storage is completely secure, but we work to protect your information and will notify you of a breach where the law requires it.
7. Your rights and choices
You can ask us to:
- tell you what personal information we hold about you and give you a copy
- correct information that is wrong
- delete your information
- stop sending you marketing emails
- stop using automated tools to reply to you
Depending on where you live, you may have further rights. If you are in the EU, UK or Switzerland, you can also object to or restrict our processing, ask for your data in a portable format, withdraw consent at any time, and complain to your local data protection authority. Residents of some US states have similar rights to access, correct, delete and opt out.
To make a request, email hello@sealroom.io. We will reply within 30 days, or sooner if the law requires, and may need to confirm your identity first. We will not treat you differently for using your rights.
8. Children
Our website and services are for businesses and are not directed at children under 16. We do not knowingly collect information from children. If you think a child has given us information, contact us and we will delete it.
9. International transfers
We are based in the United States, and our service providers may process information in the US and other countries. When we transfer personal information from the EU, UK or Switzerland, we use appropriate safeguards, such as the European Commission's Standard Contractual Clauses.
10. Changes to this policy
We may update this policy from time to time. We will post the new version on this page with a new effective date, and tell you directly about significant changes where appropriate.
